As per the decision of the University Senate on 31.3.2020, the processes regarding postgraduate juries, theses, and proficiency exams will be as follows.

MASTER PROGRAMS

1. The "Supervising" forms of the students who complete their courses will be sent to the relevant Institute by their advisors through EBYS together with student’s "thesis proposals". Advisors who work at IZU will deliver the wet-inked signed forms to the relevant Institute.
2. The defense juries of the students who have completed their thesis and get approval from the Thesis Control Center will be constituted through Microsoft Teams and the defense will be done in this application. Defenses must be made and recorded within an average of 60 minutes. The decision about the student's thesis will be taken by voting and this decision (successful, unsuccessful, extension; by the majority of votes or unanimity, etc.) should be recorded on video. During the voting, the student will be taken out of the group.
3. At the end of the defense, the advisor will send the thesis defense report to the Institute, with the link of the Microsoft Teams record, via EBYS. Each jury member, including the advisor, will download and sign the thesis defense report separately and hand it over to the Institute with a wet-inked signature.
4. The student whose thesis is deemed successful will send the final version of his/her thesis to the relevant Institute as a PDF file within one month. After the current process is over and students are allowed to enter the campus, the student will be obliged to receive the wet-inked signature of the academic members of the jury and submit the hardcopies of the thesis to the relevant Institute.
5. The student will be given a “temporary graduation” document until he/she submits the wet-signed copy of his/her thesis to the relevant Institute. However, after the wet-inked signed hardcopies are delivered to the Institute, the student will be entitled to receive his/her diploma.

DOCTORATE

1. The departments will appoint a supervisor to the doctoral students who have completed their courses and report this to the relevant Institute via EBYS. However, for the student who wants to change their advisors, the new advisor will send the supervisor change form to the Institute via EBYS.
2. Doctorate proficiency exams will be held on a date deemed appropriate by each department in June. Proficiency exams will be held and recorded in an average of 60 minutes for each student through the Microsoft Teams program. The decision about the student (successful, unsuccessful; by the majority of votes or unanimity) should be recorded on video. While voting, the student will be excluded from the group.
3. The exam documents will be sent to the Institute by the head of the Department with the link of Microsoft Teams record via EBYS. Each academic member in the jury will sign a separate form of the exam and deliver it to the relevant Institute.
4. “Supervising Juries” will be constituted by the relevant department for students who pass the proficiency exam. The head of the department will send the supervising jury form to the relevant Institute via EBYS.
5. After the student prepares his/her dissertation proposal, he/she will defend it within an average of 60 minutes in front of the monitoring jury over the Microsoft Teams program and this defense will be recorded. The decision regarding the thesis proposal (successful, unsuccessful; by the majority of votes or unanimity) should be recorded on video. The dissertation proposal, which is approved by the supervising jury, the relevant form and the link of the Microsoft Teams record will be sent to the Institute by the advisor via EBYS. Each academic member in the supervising jury will sign a separate copy of the dissertation proposal form and submit it to the relevant Institute.
6. Supervising juries will be held and recorded within an average of 60 minutes over the Microsoft Teams program. The decision about students study in this period (successful, unsuccessful; by the majority of votes or unanimity) should be recorded on the video. The supervising jury report will be sent by the advisor to the relevant Institute via EBYS with the link of the Microsoft Teams record. Each academic member in the jury will sign a separate report and deliver it to the Institute.
7. The student, who has completed his/her dissertation and passed the control of the Institute, will enter the dissertation defense through Microsoft Teams program. The dissertation defense will be done and recorded within an average of 90 minutes. The decision about the student's dissertation will be taken by voting and the decision (successful, unsuccessful, extension; by the majority of votes or unanimity) must be recorded on the video. While voting, the student will be taken out of the group.
8. 8. After the end of the defense, the dissertation defense report of the student will be sent to the relevant Institute by the advisor with the link of the Microsoft Teams record. Each academic member in the jury will sign a separate defense report and deliver it to the Institute.
9. The student whose thesis is deemed successful will send the final version of his/her dissertation to the relevant Institute as a PDF file within one month. After the current process is over and students are allowed to enter the campus, the student will be obliged to receive the wet-inked signature of the academic members of the jury and submit the hardcopy of the dissertation to the relevant Institute.
10. The student will be given a “temporary graduation” document until he/she submits the wet-signed hardcopy of his/her thesis to the Institute. However, after the wet-inked signed hardcopies are delivered to the Institute, the student will be entitled to receive his/her diploma.

ACADEMIC ADVISORS FROM OTHER UNIVERSITIES

1. The academics, who supervises an IZU student from outside of IZU will send all documents that they need to submit to the Institute via EBYS to the head of the relevant department. Their EBYS procedures will be carried out by the heads of the departments.
2. The academics, who supervises a thesis or participate in any jury at IZÜ from outside the IZU will send the documents requiring a wet-inked signature (consultancy form, monitoring jury forms, doctorate proficiency exam forms, thesis defense forms, etc.) them via paid postal services or cargo to the relevant Institute at IZU.
